Privacy Policy

Last updated September 19, 2026

Icon Pro Solutions Inc. runs this website. This policy explains what personal information we collect through it, why we collect it, what we do with it, and the choices you have. It describes how we work as at the date shown at the top of this page.

If you have a question about anything here, email [email protected].

Who we are

Icon Pro Solutions Inc. runs this website and decides how the personal information collected through it is used. In data protection law that makes us the controller of your information.

What we collect

We collect three kinds of information:

  • What you give us. Whatever a form on this site asks for at the time you use it. Typically that is your contact details and a description of what you need, and some forms let you attach a file. We ask only for what we need in order to respond to you.
  • What your browser tells us. Technical details about your visit, such as your IP address, the browser and device you are using, the country you are in, and the page that brought you here.
  • How the site is used. Counts of how often a page or one of our free tools is opened, and where visitors arrived from.

If we ever begin collecting a category of information that is not described here, we will update this policy before we do.

Our free online tools are a deliberate exception. What you type into them, and the files you convert, are processed inside your browser and are not sent to us.

Why we collect it, and our legal basis

We use your information only for the purpose you gave it to us for. Those purposes, and our legal basis for each, are:

  • Responding to you and preparing proposals. Your consent, and our legitimate interest in answering enquiries about our work.
  • Carrying out work you have asked for. Performing our contract with you.
  • Considering people who apply to work with us. Your consent, and our legitimate interest in recruiting.
  • Sending you things you have asked to receive. Your consent, which you can withdraw at any time.
  • Keeping the site secure, available and working. Our legitimate interest in protecting the site and the people who use it.

We do not sell your information.

Who else sees it

We use a small number of service providers to run this website. Each one handles only what it needs to, and only on our instructions. They fall into these roles:

  • hosting and storing the website and its data
  • security, and delivering the site to your browser
  • sending and receiving email
  • measuring how the site is used

At the date of this policy those roles are filled by our hosting provider, Cloudflare and Google Tag Manager. We may replace a provider within one of these roles without rewriting this page, but we will not add a new category of recipient without updating it.

Beyond that, we share your information only where the law requires it, or where we need to in order to establish, exercise or defend a legal claim.

Where your information is stored

This website and the services that support it are operated from, and may store information in, the United States and other countries where our providers operate.

If you are in the United Kingdom or the European Economic Area, that means your information may be transferred outside your country. Where it is, we rely on the transfer safeguards those providers publish, such as the standard contractual clauses approved by the European Commission.

How long we keep it

We keep information only for as long as it is useful for the purpose it was collected for, and then we delete it. As a guide:

  • Enquiries and proposals: about two years after we last hear from you.
  • Applications to work with us: about a year, unless you ask us to keep yours on file for longer.
  • Subscriptions: until you unsubscribe.
  • Technical and security logs: a short period only.

Where the law requires us to keep something for longer, we keep it for that period and no longer.

How we protect it

We take reasonable technical and organizational measures to protect your information. That includes serving this site over an encrypted connection and limiting access to the people who need it, each with their own account.

No website can promise perfect security. If a breach affects your personal information and is likely to put you at risk, we will tell you and the relevant authority without undue delay.

Your rights

Wherever you are, you can ask us to:

  • give you a copy of the information we hold about you
  • correct anything that is wrong
  • delete it
  • stop using it, or limit how we use it
  • send it to you, or to another provider, in a portable format
  • stop relying on legitimate interests where that is our basis
  • withdraw a consent you have given, at any time

Email [email protected]. We will respond within the time the law allows, and in any case within 30 days unless your request is unusually complex, in which case we will tell you and explain why. It costs nothing, and asking will never change how we treat you.

Cookies and similar technology

Cookies are small files a website stores in your browser. We use the ones that are necessary to keep the site working and secure.

This site also loads Google Tag Manager, which can place cookies that measure how the site is used. We are putting a consent tool in place so you can accept or refuse anything that is not strictly necessary. In the meantime, and at any point afterwards, you can block or delete cookies in your browser, although parts of the site may then not work as intended.

If you apply to work with us

Your application, and anything you attach to it, is used to consider you for the role you applied for and for other roles we think might suit you. We do not pass it outside Icon Pro Solutions Inc. without asking you first.

We keep applications for about a year so we can come back to you if something suitable comes up, and we will delete yours sooner if you ask.

Children

This site is intended for a business audience and is not directed at children. We do not knowingly collect information from anyone under 16. If you believe a child has sent us their information, tell us and we will delete it.

Automated decisions

We do not make decisions about you by automated means, and we do not build profiles of you. If that ever changes, we will say so here before it does.

Links to other websites

This site links to other websites, including our own profiles on other platforms. We are not responsible for how those sites handle your information, and their own policies apply once you leave here.

Complaints

If you are unhappy with how we have handled your information, tell us first and we will try to put it right. You also have the right to complain to the data protection authority in the country you live or work in. In the United Kingdom that is the Information Commissioner’s Office at ico.org.uk.

Google Business Profile posting

IPS Google Posts is a WordPress plugin made by Icon Pro Solutions. A website owner who installs it can connect their Google account so the plugin can publish posts to their Google Business Profile.

When you connect a Google account to it:

  • What it accesses, with your permission. Permission to manage your Business Profile (Google calls this “business.manage”), your Google account email address, to show which account is connected, and the list of profiles that account manages. That list is read only to find the one profile whose website is your website.
  • How it is used. Only to create, edit and delete posts on that one profile, as your website’s administrators direct, and to check the profile still lists your website. It is not used for advertising, not sold, not shared with anyone else, and not used to train AI models.
  • Where it is kept. The access is stored encrypted on your own website. Sign-in passes through our connector at hr.iconprosolutions.com, which holds the app’s credentials and keeps none of your data or tokens.
  • Removing access. Click Disconnect in the plugin, which asks Google to revoke the access, or remove “IPS Google Posts” at myaccount.google.com/permissions. Uninstalling the plugin deletes everything it stored.

Use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Questions about it: email [email protected].

Changes to this policy

We update this policy whenever the way we work changes. The date at the top of the page always shows when it was last updated, and that version replaces any earlier one.

If a change materially affects how we use information you have already given us, we will tell you directly where we can.

How to contact us
